Job Overview: The position of Associado(a) de Projetos is integral to the project BRA/23/009, which aims to strengthen innovation and effectiveness in the operations of the Federal Justice of Ceará (JFCE) with a people-centered approach. This role involves supporting the implementation of project activities through operational, administrative, and monitoring routines. The professional will work closely with the Technical Coordination of the Project, JFCE teams, and UNDP, ensuring qualified operational support for the project's successful functioning. The project is expected to run until December 31, 2026, with the possibility of extension, and focuses on six thematic axes, including user experience enhancement, disruptive technologies, knowledge management, human resource management, institutional governance, and efficient project management.
Duties and Responsibilities: The Associado(a) de Projetos will be responsible for various operational support tasks, including:
Operational monitoring of the project: updating schedules, work plans, and monitoring tools; maintaining spreadsheets, dashboards, and monitoring systems; collecting, organizing, and systematizing data with team members; and supporting the tracking of project indicators and goals.
Document and material production: drafting minutes, meeting notes, and institutional records; producing presentations, descriptive reports, and supporting documents; and preparing and reviewing Terms of Reference and administrative documents.
Administrative and logistical support: assisting in the administrative management of personnel, including contract renewal deadlines, vacation management, and other team management flows; monitoring and tracking deadlines for deliverables produced by consultants; organizing travel and missions, including report preparation; and supporting the organization of events, both in-person and virtual, including programming, logistics, and briefing writing.
Information and documentation management: organizing and maintaining the project's document repository; ensuring traceability of information and deliverables; and systematizing records and evidence of activities performed.
Support to coordination and knowledge management: assisting in the systematization of information, best practices, and lessons learned; contributing to the organization and standardization of project content; and executing tasks as requested by the Technical Coordination to support action implementation. The incumbent may perform other functions within their functional profile deemed necessary for the project's smooth operation.
Required Qualifications: The position requires a minimum of 6 years of relevant professional experience for candidates with a high school diploma or 3 years for those with a university degree. Candidates should have experience in administrative support, project management, activity monitoring, document production, or related functions. Proficiency in information technology and the Microsoft Office suite is essential. Desired skills include experience in project monitoring, data organization and use for management support, and familiarity with public sector projects, justice systems, or international organizations. Additional qualifications such as a postgraduate degree in Project Management, Public Administration, or related fields will be considered an advantage. Experience with project management methodologies, including agile approaches (Scrum, Kanban), and document production and organization in project contexts are also desirable.
Educational Background: A complete high school diploma is required for the position. A university degree in Administration, Public Management, Law, Social Sciences, or related fields will be given due consideration but is not mandatory.
Experience: Candidates must have a minimum of 6 years of relevant professional experience if they hold a high school diploma or 3 years if they possess a university degree. This experience should be in areas such as administrative support, project management, monitoring activities, or related functions.
Languages: Fluency in Portuguese is required for this position, while a basic level of English is desirable. Proficiency in additional languages may be beneficial but is not mandatory.
