Job Overview: The Premises Associate position is a critical role within the UNDP's Office of General Operations (OGO), which oversees premises-related matters for UNDP Country Offices (COs), Regional Hubs (RHs), and Headquarters (HQ). The incumbent will work under the guidance of the Operations Analyst and collaborate closely with the OGO Global Premises Team. The primary responsibilities include reviewing business cases and premises-related legal agreements submitted by COs, ensuring compliance with UNDP standards, and maintaining the UNDP premises database. The role requires a client-oriented approach, strong analytical skills, and the ability to work effectively with diverse teams. The Premises Associate will contribute to the corporate oversight of the UNDP global premises portfolio and support the organization's strategic goals through effective premises management.
Duties and Responsibilities:
Support efficient premises management implementation by reviewing and processing premises-related cases submitted by COs, ensuring compliance with UNDP standards. This includes reviewing business cases and proposals, draft agreements, and providing actionable feedback.
Maintain the UNDP premises database and ensure compliance with premises-related activities, liaising with various UNDP units and agencies as necessary.
Assist with premises contract tracking and monitor compliance with premises standards.
Provide support for effective administrative and financial control by preparing presentations, dashboards, and reports related to premises management.
Facilitate knowledge building and sharing by contributing to training sessions and drafting guidance materials.
Perform other duties as necessary for the efficient functioning of the Office and the Organization.
Required Qualifications: Candidates must possess a secondary education as a minimum requirement. A university degree in Commerce, Business, Public Administration, or a related field is preferred but not mandatory. Relevant experience in operations, administration, or premises management is essential. Candidates should demonstrate proficiency in using office software and web-based management systems, particularly SharePoint. Experience in reviewing leases and premises-related agreements is desirable, along with familiarity with the UN system and administrative processes.
Educational Background: The educational background required for this position includes a secondary education as a baseline. A bachelor's degree in relevant fields such as Commerce, Business, or Public Administration is advantageous and will be considered favorably during the selection process.
Experience: The position requires a minimum of 6 years of relevant experience for candidates with secondary education or 3 years for those with a bachelor's degree. Experience should be in operations, administration, or premises/facilities management. Familiarity with office software, data management systems, and experience in the UN system are highly desirable. Candidates should also have experience in supporting administrative and financial control processes and delivering training sessions.
Languages: Fluency in English and German is mandatory for this position. Additionally, working knowledge of French and/or Spanish is considered a valuable asset and may enhance a candidate's profile.
Additional Notes: This position is open to UNDP/UNCDF/UNV staff holding permanent and fixed-term appointments of all nationalities.
