Job Overview:
The Extended-Term Temporary (ETT) – Senior Program Assistant position at the World Bank Group office in Zagreb is designed for a motivated and detail-oriented individual who will provide essential project implementation support, administrative coordination, and operational assistance for IFC and IBRD activities in Croatia. The selected candidate will work closely with the IFC Country Officer, project teams, and relevant IBRD colleagues to ensure efficient execution of programs and seamless liaison with partners and stakeholders. The role encompasses coordination of project-related logistics, support in preparing project documentation, and monitoring deliverables. While the primary focus will be on activities in Croatia, the position may also involve occasional responsibilities linked to IFC engagements in other European and Western Balkan countries, thereby providing a diverse and dynamic work environment.

Duties and Responsibilities:
The Extended-Term Temporary will be responsible for a comprehensive set of duties that include: 1) Administrative and Office Coordination: Providing day-to-day administrative and client support to IFC staff in the Zagreb office, including scheduling meetings, managing correspondence, and maintaining updated contact lists. Coordinating with the World Bank Zagreb office and other IFC offices in the Europe region on administrative, finance, HR, and ICT issues. Maintaining orderly electronic and hardcopy files for projects and contracts. 2) Project Implementation Support: Assisting with IFC projects, including the IFC SkillUp Project, organizing events, liaising with participants and stakeholders, editing project-related documents, preparing presentation materials, and tracking key outputs in collaboration with project teams. 3) Stakeholder and Partner Engagement Support: Acting as a liaison between IFC staff and various stakeholders, maintaining relationships to support project execution, and organizing translation services as needed. 4) Mission and Event Logistics: Coordinating logistics for visiting missions, organizing meetings and workshops, and assisting with arrangements for consultants. 5) Office-Wide and Cross-Institutional Support: Supporting office-wide activities, contributing to corporate briefs, and performing other duties as required. 6) CTRCS Administrative and Office Support: Providing support to Management and CTRCS department, organizing administrative functions, and handling correspondence and communication tasks.

Required Qualifications:
Candidates must possess a Bachelor’s degree in business administration, economics, public policy, finance, or a relevant discipline, with a Master’s degree considered an asset. A minimum of three years of relevant experience in project coordination, administrative support, or program implementation is required, preferably within a development organization or private sector environment. Experience with the World Bank Group is a strong advantage. Candidates should also have at least three years of relevant experience with the Croatian private sector, knowledge of Croatia’s administrative and operational environment, and familiarity with development programs or private sector initiatives. Strong organizational skills, attention to detail, and the ability to manage multiple priorities under tight deadlines are essential.

Educational Background:
The educational background required for this position includes a Bachelor’s degree in business administration, economics, public policy, finance, or another relevant discipline. A Master’s degree in a related field is considered an asset and may enhance the candidate's qualifications for the role.

Experience:
The position requires at least three years of relevant experience in project coordination, administrative support, or program implementation. This experience should preferably be within a development organization or a private sector environment. Familiarity with the World Bank Group's operations and procedures is a strong advantage, as is experience working with the Croatian private sector.

Languages:
The mandatory languages for this position are English and Croatian, with excellent communication skills required in both written and verbal forms. Proficiency in these languages is crucial for effective interaction with diverse stakeholders. Additional language skills may be considered beneficial but are not explicitly required.
