Job Overview: The Operations Assistant plays a crucial role in supporting the Operations team at IRC’s offices in Florida. This position reports directly to the director" style="border-bottom: 1px dotted #007bff !important;">Deputy Director of Operations and is responsible for a variety of administrative and operational tasks that ensure the smooth functioning of day-to-day business operations. The Operations Assistant will engage in fleet management, IT support, vendor procurement, and inventory tracking, as well as assist with facility improvements. The role requires a proactive approach to problem-solving and the ability to manage multiple responsibilities effectively. The Operations Assistant will also be involved in onboarding processes, ensuring that new staff have the necessary equipment and support to begin their roles. This position is essential for maintaining operational efficiency and enhancing the overall work environment for IRC staff and clients.
Duties and Responsibilities: The Operations Assistant will have a diverse set of responsibilities, including but not limited to: supporting the Operations team with fleet management and vendor relations; assisting with safety and security" style="border-bottom: 1px dotted #007bff !important;">security measures; managing office expenses and troubleshooting IT equipment and services; maintaining an inventory of office equipment; collaborating with the HR Manager on equipment dispersal and onboarding tasks; providing front desk coverage to ensure clients and stakeholders receive adequate service; supporting facility renovations and moves; managing office supply requests and inventory; and tracking contributions in kind. The Operations Assistant may also be assigned additional duties as needed to support the overall operations of the organization.
Required Qualifications: Candidates for the Operations Assistant position should possess a high school diploma or equivalent. A minimum of two years of relevant work experience is strongly preferred. The ideal candidate will demonstrate proficiency in Microsoft Office applications, including Word, Excel, and Outlook, and will have the ability to utilize the internet and digital tools for data entry, research, and problem-solving. Strong organizational skills are essential, with the ability to manage multiple tasks, set priorities, and meet deadlines with accuracy and attention to detail. Effective communication skills, both spoken and written, are necessary, along with the ability to work collaboratively in a cross-cultural environment. A valid driver’s license and access to a personal, insured vehicle are also required.
Educational Background: The minimum educational requirement for the Operations Assistant position is a high school diploma or equivalent. Additional certifications or training in office administration, operations management, or a related field may be beneficial but are not mandatory.
Experience: The position requires a minimum of two years of relevant work experience, preferably in an administrative or operational role. Experience in a non-profit or humanitarian organization is a plus, as it provides valuable context for the responsibilities of the Operations Assistant.
Languages: Fluency in English, both spoken and written, is mandatory for this position. Additional language skills may be considered an asset, particularly if they align with the communities served by IRC.
Additional Notes: This is an in-person operations position that requires on-site attendance five days per week, with exceptions made as needed with prior approval. The role may involve occasional domestic travel, up to 10%, and may require weekend or evening work on occasion. The compensation for this position ranges from $17.53 to $18.45 per hour, depending on various factors such as labor market conditions and individual candidate experience.
