Job Overview:
The position of Procurement Process IC - Individual Contractor involves providing specialized procurement services to support UNDP's operations in Zimbabwe. The contractor will be responsible for ensuring that procurement processes are conducted in accordance with UNDP's policies and procedures, and that all procurement activities are transparent, efficient, and effective. The role requires a deep understanding of procurement regulations and practices, as well as the ability to work collaboratively with various stakeholders to achieve procurement objectives. The contractor will be expected to deliver high-quality outputs within a specified timeframe, contributing to the overall success of UNDP's projects in the region. This assignment is expected to last for 30 working days within a period of 2 months, and the contractor will need to manage their time effectively to meet deadlines and deliverables.

Duties and Responsibilities:
The duties and responsibilities of the Procurement Process IC include but are not limited to:
  • Conducting market research to identify potential suppliers and assess their capabilities.
  • Preparing and issuing procurement documents, including requests for proposals (RFPs), invitations to bid (ITBs), and requests for quotations (RFQs).
  • Evaluating bids and proposals received from suppliers and making recommendations for contract awards.
  • Ensuring compliance with UNDP procurement policies and procedures throughout the procurement process.
  • Maintaining accurate records of procurement activities and ensuring that all documentation is complete and up-to-date.
  • Collaborating with project teams to understand their procurement needs and providing guidance on procurement best practices.
  • Responding to inquiries from suppliers and stakeholders regarding procurement processes and requirements.
  • Assisting in the negotiation of contracts with suppliers to ensure favorable terms and conditions for UNDP.
  • Monitoring supplier performance and addressing any issues that may arise during contract execution. 1
  • Providing training and support to UNDP staff on procurement processes and policies as needed.

Required Qualifications:
The ideal candidate for the Procurement Process IC position should possess the following qualifications:
  • A strong understanding of procurement principles and practices, particularly in the context of international development organizations.
  • Proven experience in procurement, contract management, or supply chain management, preferably within the UN system or similar organizations.
  • Excellent analytical and problem-solving skills, with the ability to assess complex procurement situations and make sound decisions.
  • Strong communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.
  • Proficiency in using procurement software and tools, as well as Microsoft Office applications.

Educational Background:
Candidates should have a minimum of a bachelor's degree in business administration, procurement, supply chain management, or a related field. A master's degree or professional certification in procurement or supply chain management would be an advantage.

Experience:
The position requires a minimum of 3-5 years of relevant experience in procurement or contract management. Experience working with international organizations, particularly in a development context, is highly desirable. Familiarity with UNDP procurement policies and procedures is a plus.

Languages:
Fluency in English is mandatory, both written and spoken. Knowledge of additional languages, particularly local languages spoken in Zimbabwe, would be considered an asset.

Additional Notes:
This position is offered as a short-term contract for a duration of 30 working days, with the possibility of extension based on performance and project needs. The contractor will be expected to work full-time during the assignment period. Compensation will be commensurate with experience and qualifications, and benefits may include access to UNDP resources and training opportunities.
